Background
ION Facility Services is a multinational facilities management company established in 1986, operating across Canada and the United States. ION FS delivers comprehensive janitorial, maintenance, and facility solutions to commercial, institutional, healthcare, and industrial clients. When ION FS secured LifeLabs — Canada's largest medical laboratory testing provider, supporting 20 million patient visits annually across 382 locations — they needed a purpose-built platform that could handle the operational complexity and compliance demands of servicing a healthcare network at that scale. Off-the-shelf tools couldn't meet the requirements, so ION FS engaged Agency In A Box to build SmartFS from the ground up.
The Challenge

Our Approach
- Worked closely with ION FS operations leadership to map the full service delivery lifecycle — from request intake through execution, verification, and compliance documentation
- Designed and built SmartFS as a custom web platform with a dedicated LifeLabs user portal for service requests, status tracking, and facility documentation
- Engineered the platform architecture to support multi-tenant, multi-region operations across ION FS's Canadian and US service territories
- Built compliance workflows to support Type 1 compliance requirements, with structured audit trails and documentation management
- Delivered the core platform with all technical requirements implemented, establishing the foundation for phased reporting and analytics capabilities
The Impact
SmartFS launched with LifeLabs as the first customer onboarded to the platform. The custom user portal gave LifeLabs facility managers direct visibility into service delivery across their network of locations for the first time. ION FS now operates with a purpose-built digital backbone that supports their cross-border service operations. The platform's technical foundation is in place and actively serving the account, with reporting and analytics capabilities in active development as the next phase.
